Position: Regional Fleet Coordinator-Polytec

Primary Location: In-person at the Mooresville, NC, USA, Polytec Plant (ON-SITE)

Reports to: Fleet Manager-Polytec

Compensation Range: $75,000-$80,000 USD/year (not eligible for OT)

 

The range shown reflects the targeted pay scale. Actual pay within the range depends on work location and factors such as skills, experience, and education. Specific salary details can be discussed during the hiring process. Posted compensation reflects base salary only and excludes bonuses, benefits, pension contributions, and other incentives.

 

About The Position and About You 

 

The Regional Fleet Coordinator is responsible for the day-to-day coordination and execution of Regional Private Fleet operations, with primary focus on driver dispatch, load scheduling and optimization, and coordinating truck and trailer service and maintenance. The role supports Regional Driver compliance, training, EHS, cost control, reporting, and operational performance while working closely with Fleet and Site Management to ensure safe, reliable, and efficient fleet operations.

 

What You Need to Be Successful

  • Working knowledge of Chemical Delivery, Dispatching and Logistical aspects of Fleet Management.

  • 1 – 3 years of Leadership experience directing hourly employees

  • Experience with safety programs in an industrial facility.

  • Experience Supervising Driving Operations personnel and maintaining documentation

  • Personal computer and software usage including Microsoft Word, Microsoft Excel and Familiarity with SAP – purchasing and plant maintenance module are pluses

Responsibilities 

 

Plant Operations & Fleet Coordination

  • Coordinate and manage the day-to-day dispatch of Regional Private Fleet drivers, ensuring schedules, assignments, routes, and load requirements are properly planned and communicated.
  • Balance daily loads and fleet capacity to ensure customer and plant requirements are met while maximizing fleet utilization.
  • Coordinate daily truck and trailer service, preventive maintenance (PM), inspections, repairs, and maintenance scheduling to maximize fleet availability and minimize operational disruptions.
  • Monitor fleet availability and proactively address daily maintenance or resource issues that could impact scheduled loads, and communicate broader equipment needs to Fleet Management.
  • Coordinate day-to-day Regional Private Fleet operations and provide day-to-day operational direction to Regional Fleet drivers.
  • Monitor and ensure DOT compliance requirements are current and maintained for all Regional Drivers.
  • Optimize loads between the Regional Private Fleet and common carriers at all plants.
  • Develop and maintain effective working relationships with common carriers at the plant and dispatch level to ensure adequate transportation coverage.
  • Work with Plant Managers to confirm product capacity can support required load volumes and proactively plan for capacity constraints.
  • Work with Customer Service to ensure orders are spaced as evenly as possible throughout the week to minimize rescheduling and transportation coverage issues.
  • Assist drivers with log, dispatch, routing, equipment, and other operational issues as needed.
  • Provide IT and system support to Regional Drivers as required.
  • Monitor daily fleet performance and identify opportunities to improve utilization, service reliability, and operating efficiency.
  • Perform data analysis to support fleet planning, operational decision-making, and continuous improvement.
  • As required, work evenings or weekends during plant shutdowns, plant upsets, abnormal resource issues, or other operational events.

Driver Training & Development

  • Work with Site Operations to develop and maintain training plans for each Regional Driver.
  • Develop training KPIs with Site Management to measure the effectiveness of driver training programs.
  • Develop, maintain, and audit Site training records for each Regional Driver.
  • Provide guidance, coaching, and mentoring to Driving Operations personnel.
  • Assist with the development and implementation of Operations, EHS Procedures, and ECPs while supporting assigned Sites.
  • Ensure assigned safety procedures, training materials, and educational resources are current and effective.As required, work evenings or weekends during plant shutdowns, plant upsets, abnormal resource issues, or other operational events.

Environment, Health, & Safety

  • Reinforce and monitor employee and contractor adherence to established safety policies and procedures within assigned Regional Fleet operations.
  • Set the example for safety at supported Sites by auditing daily activities, performing housekeeping audits, and maintaining excellent personal safety performance.
  • Participate in incident investigations and assist with closure of corrective action items as required.
  • Assist in the development and communication of Job Safety Analyses (JSAs) for plant and fleet processes.
  • Respond to EHS incidents through prompt and thorough reporting, and assist with incident investigation.

Cost Control & Reporting

  • Prepare assigned management reports.
  • Maintain accountability for cost control of proper execution of daily work and Fleet activities.
  • Support budgeting, scheduling, pre-outage hazard preparation, measurement metrics, critiques, etc.

People Management

  • Provide guidance to the execution of Driving Operational Activities.
  • Maintain and hold personnel accountable to clear performance standards.
  • Communication and observation of the work assigned to the Operators 
  • Able to provide guidance to follow up on every job assigned to the Operators to ensure proper housekeeping of the job site, quality work was completed, and that the work was completed in a timely manner.
  • Promptly address potential performance issues with Site Management.

  • Employee is occasionally required to sit, stand, walk, reach with hands and arms, balance, stoop, kneel, crouch, or crawl.
  • Employee is occasionally required to climb stairs/ladders (including vertical)
  • Employee must occasionally lift and/or move up to 10 pounds.
  • Specific vision abilities required by this job may include close vision.
  • Must be physically capable of spending long hours sitting in an office environment.
  • Must be “fit for duty”.

Must be able to perform under the following conditions: 

  • Work in a combination of office and plant environments, with frequent movement between settings.
  • Work in awkward or confining workspaces.
  • Work in elevated places.
  • Work in outdoor environment.
  • Work in noisy environment.
  • Work in areas that are dusty and have some odor from chemicals and etc.
  • Safety is a job requirement.
  • Able to work in Adverse Weather Conditions.
  • Required use of PPE.
